From demo to live in
under one week

We handle the setup, you run the school. Our team configures SchoolSphere around your exact structure — classes, streams, fees, staff roles, and permissions — before you even open the system.

The onboarding journey

1
Step 1 · Schedule a live walkthrough with our team. Tell us about your school — number of students, classes, whether you're boarding, what your biggest pain points are. We'll show you exactly how SchoolSphere addresses each one.

Step 2 · After the demo, our team sets up your school's environment: S1–S6 classes and streams, all subjects, fee structures per class per term, staff roles and permissions, dormitory names, transport routes. You get a clean, ready-to-use system.
We Configure Your School

24–48 hours

Classes, streams & subjects loaded
Fee structures configured
Staff accounts created
Roles & permissions set

Step 3 · If you have existing student records, fee balances, or staff data in spreadsheets or another system, we migrate it for you. We import student profiles, admission numbers, guardian contacts, and historical fee balances.
Data Migration

1–2 days

Student records imported
Fee balances carried forward
Staff records loaded
Historical data preserved
4
Step 4 · We run a training session with your admin staff, bursar, and head teacher. Role-specific training means each person learns only the parts they'll use. We provide reference guides for each role.
Team Training

2–3 hours

Role-specific training
Bursar fee & payment walkthrough
Head teacher reports training
Reference guides provided

Step 5 · Your school goes live. Students are enrolled, fees are running, and attendance is being recorded. Our support team is available for the first two weeks to answer any questions and fix any issues immediately.

Common questions

Do we need internet at school?
A stable internet connection is required for the web dashboard. However, the system is lightweight and works on standard MTN/Airtel broadband. We can advise on the minimum connection speed needed for your school size.
Can we import our existing student data?
Yes. We accept Excel/CSV files with student names, admission numbers, class, guardian contacts, and fee balances. Our team handles the import as part of onboarding.
What happens to our data if we stop using SchoolSphere?
Your data belongs to your school, full stop. We will give you a complete export — students, payments, exam results, staff records — whenever you ask. You are never locked in.
Can parents and students access the system?
Yes. Parents log into a dedicated portal to view fees, results, and announcements. Students have their own portal for results and timetables. Both are included in every plan.
Is SchoolSphere suitable for both day and boarding schools?
Yes. The hostel, transport, and clinic modules are optional. Day schools simply use the academic, fees, and HR modules. Boarding schools get the full suite.
How is UNEB registration handled?
SchoolSphere lets you create UCE and UACE registration batches, add candidates from your enrolled S4/S6 students, assign subjects per candidate, and track submission status.
Is support available after we go live?
Yes. All schools have access to WhatsApp and email support. We aim to respond within 2 hours during business hours (8 AM – 6 PM EAT).
